Mobile Sales People

Overview Of Requirements

Mobile sales people (or road warriors) have a bunch of specific requirements because they travel all the time so we put answers to your questions all together.

How Can I Pay Commission Based On Revenue?

We are often asked how best to pay commission to sales people, this is particularly important for travelling sales teams who carry stock with them as you also want to track physical inventory that have in their vehicle (car, truck, suitcase etc)

We take a two step approach to this and the two steps are joined by a simple manual process (deliberately at least for now we are not automating 100% for flexibility reasons).

The two steps are already fairly elegant and standard Saasu features in themselves however. We think it is a good trade off between complete flexibility and a reliable repeatable semi-automated process.

We don’t have a direct link between payroll and invoicing because our experience has been that the invoice to commission link has too many variables - everyone seems to do it differently and even worse they seem to change the formula to suit the latest demands from their star sales people to keep them happy - commercial reality strikes again. However if you would like to let us know the exact model you follow we will look at putting it in a future release if we can make it generic enough for the standard product.

We do however have a pretty cool function called Tags throughout the system that allows you to create flexible Tags for each sales person, so, after doing a few one off tasks (Step 0 below) when you first setup your company,

One Off Tasks (only need to be done once at setup)

  • Step 0 - Setup one Tag for each sales person; Setting up a payroll pay item type called ‘Commission’; Setup a Pay Run Group and put each of your sales people in that group. Include the Commission type in their default pay.

Each Period Thereafter (say monthly if that is your pay cycle)

  • Step 1 - Tag each sale/invoice with a Tag (named above for the sales person who is getting credit for the sale). At the end of the period run a sales report by Tag (sales person) for the period (say a month is that is how often you do you pay run). These two processes give you the revenue per person and take a few seconds each.
  • Step 2. - Use the revenue by sales person (Tag) report from step 1 to enter a payroll entry for the period in the employee next pay tab. When you are finished run the pay (you can email them payslips automatically and include their base pay in the same run, you can also include a time sheet component and other more sophisticated pay items if you wish).

If you allow more than one person to get credit for one $ of revenue it gets a bit more complicated because you are double counting and the above model is probably not recommended so contact us.

Tracking Inventory By Sales Person

Create a Tag for each sales person and on the inventory setup tag the inventory item to a Tag so their name effectively becomes a location or a mini-warehouse. You can do transfers between these ‘locations’.

Mobile Invoicing

We have a robot that listens to your SMS text messages that does this. It is still in Saasu Labs though.

Employee Self Service For Sales Teams

This is a big topic but the short answer is we setup a dedicated (cheaper) user type called ESS (Employee Self Service) that works for all employees but is particularly useful for sales people on the road with internet access.

It just allows access to functions for employees, all other functions are disabled pretty much although you can configure it a little bit.

This means people are enabled to enter time sheets and see their person payroll information and we configure one of the payroll items to be commission and another to be base pay and yet another to be hourly rate driven from their time sheet. No time sheet no pay.

Everything is visible by the employee on the road.

If you buy them the right license and they have internet access on the road they can even create the invoices on the system and email them to their customers.
