Invoice or Statement Template Add/Edit

Saasu allows you to setup a template for creating PDF Sales, Purchase and Statements that you can save, print or email to customers or suppliers. These emails are created by Saasu without additional email software or plug-ins. This section allows you to input your own custom information to be included in the layout of your PDF Invoices/Statements. You can set defaults for various areas that make up your Invoices and Statements. The area which displays the invoice or statement information isn’t customisable in the current release.

Using Merge Fields

Merge fields allow you to include transaction specific information in the editable parts of the invoice template. As per many standard mail merge systems you simply include the field with parenthesis around it, ensuring the text case is correct.

For example, if you were to include the text,

Remittance advice for {InvoiceOrQuoteNumberCaption} {Number} dated {Date}. The amount outstanding is {Amount}.

Then this would appear for on the PDF,

Remittance advice for invoice number 001 dated 01-Jul-02. The amount outstanding is $100.

Merge Fields Rules

  • Case sensitive - {Date} is not the same as {date}.
  • Merge fields don’t always match the field caption in the screens. Only use those merge fields tabled above.

Remittance Details

The text you enter into this section will appear immediately below the list of items in your invoice. Although most suited to remittance information, you could include any information that you like in this area. Remittance information is the information your customers require to make a payment. This may be payment information, PayPal, Ebay, Bank Direct deposit, Credit Card payment options.

Including Specific Information

You can include key information relating to an individual invoice in your remittance section template. If you include any of the following “merge fields” in the remittance section template text they will be replaced with the appropriate information when viewing, printing or emailing a PDF invoice.

Sender Details

The text you enter into this section will appear in the top right corner of the invoice opposite the logo. Again, you can enter any information you want into this area, but it is best suited for your business address, phone number, website and email contact information.

This is the information that appears in the footer area of each page. You may choose to include your address details or any other relevant information that you feel would be useful in this location.

Logo Image

Clicking this link will open a window prompting you to upload an image for your invoices. If there is no image currently specified the link will read ‘Add…’. If you have previously specified an image, the link will read ‘Change…’. Once uploaded, the specified logo image will appear in the top left corner of the page, opposite the sender details.

Supported Image Formats

For the best quality result we recommend using images with a resolution of but 150dpi, however lower resolutions are supported.

Bear in mind higher resolution images will result in PDF generation taking longer each time.

The image should be no larger than 127 pixels high and 350 pixels wide when including sender details. If you do not wish to include sender details the logo can be up to 630 pixels wide, allowing you to have a purely graphic header for your invoice. Images that are larger than these dimensions will be shrunk to fit in the available area.

The image upload facility supports images that are:

  • BMP
  • TIF
  • GIF
  • JPG

You might sometimes need to try different formats from the above list for your templates. So in case if one format is not displaying properly or if you have trouble viewing the PDF invoice, you could try converting the image into another one from above. This usually resolves any rendering issues that were preventing you from viewing the PDF invoice. It is important that the image stays within the recommended size for viewing with or without sender details.
