Payslip Email for sending PDF Payslips

This section allows you to input your own custom recipients of copies, subject field and content area for your email. The PDF payslip goes as an attachment to this email. Before emailing payslips to your employees you may wish to seek appropriate approvals from the employee and/or employer to do so. The following information describes each field in this screen:

From

The email address the recipient sees that the email has come from. Usually you would enter your email address that you would normally use when sending accounting information to your customers or suppliers. It should be a real email account you have access to as they may ‘reply’ to the email you have sent them. Saasu recommends using your ‘Email Template’ to pre-set this field. This will help prevent the risk of an input error each time you send an Email payslip.

If you input the incorrect email address in this field your email will still send regardless. The recipient always receives emails even if you as the sender incorrectly enters your email address in this field (nearly all email applications including MS Outlook work in the same way, they allow you to use any sender email address). The circumstance can then occur where the recipient tries to reply to your email using the incorrect email address you used when sending the original email. You may not receive this message in this circumstance.

Bcc

The private recipient of a copy of the payslip (Blind carbon copy). Some examples follow:

  • create an email account to store all your outgoing payslips such as accounts@yourcompany.com.au
  • leave the field blank
  • send a copy to your bookkeeper
  • send a copy to a sales person

Cc

The recipient of a copy of the payslip (Carbon copy). An example might be to send a copy to your client if you bookkeeper

Subject

The Subject line you would like displayed in your email. e.g. “Subject: XYZ Company Payslip”. The PDF file is named as the transaction date followed by the employee name e.g. “250103joeblogs.pdf”

Body Text

This section is the email content. There are many uses for this area. Some examples are listed below:

  • more specific information about the payslip
  • request for information from an employee
  • Human Resources calendar events and company announcements

Notes about Emailing Payslips

Bear in mind your own specific organisation’s policies in managing payroll. Care with email addresses is important as you are sending very confidential information.

If you wish to preview the payslip before sending the email, click on the ‘View/Print Payslip’ button before emailing. As the email sends a copy of the PDF payslip, previewing the PDF payslip will show you what the emailed payslip will look like.

The email is ‘plain text’ only in format. HTML (sometimes call Rich-Text) email formatting is not currently supported. If you think we should include support for this, let us know by using the Contact Us form.
