Saasu Connector for Salesforce.com

What Is It?

The automated way of keeping your sales team and your accounting and client service teams aligned easily and working on the same information all the time - for users of the salesforce.com CRM (Customer Relationship Management) service.

What Does It Do For Me?

Helps reduce data entry by synchronising your Salesforce.com contacts with Saasu. Your accounts team will always send invoices to the same place the sales team expects them to be sent!
Saasu Connector for Salesforce.com is as simple to install as entering your user name and password + security token under settings>contacts

Pricing

The Salesforce Connector is free. If your version of Salesforce.com doesn’t have API access you may have an additional fee to pay to get API access.

Why use it?

  • Save valuable time
  • Ensure quality of data synchronisation
  • Ensure timeliness of data synchronisation
  • Provide the powerful Salesforce.com (the SaaS CRM world leader) to your firm without introducing islands of systems/data that don’t talk to each other
  • Use the power of the internet to get your sales team and your accounting team on the same page for the first time ever, no more invoices or statements sent to the wrong customer
  • Works for all contacts/accounts in salesforce which can include customers, prospects, suppliers and partners in saasu. Note the salesforce.com ‘leads’ capabilities and some PRM (partner relationship management) self service functions will have synchronisation of some but not all fields.
  • Control your data in many ways. Ensure security by setting tight access filters in Salesforce.com (e.g. head office, branch office, franchise network head office, franchisee only) and only the relevant records will be sent to saasu by salesforce. This enables one salesforce db to sync with multiple saasu subsets if there are multiple legal entities (saasu ‘files’) requiring distinct financial management while sharing a common/global CRM (one salesforce.com ‘org’) across all entities.

Walk Me Through The Steps?

Sure, it only takes about 20 seconds, make sure you read through all these instructions before you start. Go to Settings in the top men bar (after you have signed in to Saasu) and Show the Contact settings. You should get a screen that looks like this,

Saasu Salesforce.com Settings

Click on the Synchronise with Salesforce.com check box, then enter your Salesforce.com user id and password along with the security token, and click the save button at the bottom of the screen.

How Does It Work?

  1. It logs in to Salesforce.com on your behalf and pulls down the contact details for people and companies into Saasu.
  2. It matches the contacts based on given name plus family name plus organisation name. If there is a match and the saasu fields are blank then it fills in the blanks using data from Salesforce.com.
  3. This is currently a one-way inbound, we are planning a two-way transfer in future versions.

Important Notes

If you have contact data in Saasu and want to get it into Salesforce.com before the two-way release, as a once off event, you can use the Saasu contacts export function to drop your contact details into a file then use the Salesforce.com import function to load it into their system. Then turn on the Saasu Connector for Salesforce.com.

When you import into Saasu there is currently no duplication recognition done other than the matching described above. All records are imported. One way of addressing this is to use the setup services in Salesforce.com which are improving all the time. Just import your data manually once into Salesforce.com from Saasu, setup and then turn on the Saasu Salesforce.com connector. This should reduce the occurrence of duplicates. We are still working on improving this area and we realise it is not ideal. Your feedback is welcome, just tell us.

Generally we suggest you use the more advanced functionality in Salesforce.com to clean up your relationship data and restrict access to the minimum required before bringing it into Saasu. If you are not sure, call Salesforce.com or contact our partners or our service team.

Troubleshooting

My data isn’t updating from Salesforce?
One of these issues could be the problem:

  1. You have your password entered instead of you password plus security token.
  2. Your version of Salesforce doesn’t have the Salesforce API enabled.
  3. You need to give it just a bit more time. The connector takes about 30 mintues to start feeding data to Saasu from Salesforce.
  4. You may have set IP restrictions by entering an IP range in your Salesforce account. Go to Setup > Security settings and under Administration Setup cick Network Settings.
  5. You may have restricted sessions to a particular IP address, so that any other requests would not be valid unless they are from the same IP address which initiated the session. Go to Setup > Security settings and under Administration Setup cick Session Settings.
  6. You are expecting Saasu data you are entering to appear in Salesforce - The Saasu salesforce connector only allows you to enter data in Salesforce and have it feed into Saasu.
