Ten Steps To Getting Started With Saasu

After you signup, just follow this simple step by step guide to getting started with 100% pure online accounting.

Step 1. Learn Some Important Terms

  • Contact - An individual person or organisation that you deal with as the “other” party in a financial transaction. Suppliers, customers, stores, partners and prospects - anyone you do business with (pay or receive money)
  • File - All of the financial transactions and related information for your specific legal or tax entity such as company, trust, organisation or individual. You may set up multiple files for different entities if required. You can go back and add or change setup information at any time by going to Settings in the top menu and then the Main section
  • Tags - A way of tagging lots of different things such as transactions so that you can report on them later. Useful for business divisions, warehouse locations, projects, strategic initiatives, anything that needs tracking flexibly

Step 2. Setup your Bank Accounts, Credit Card & Loan Accounts

  • Purpose: Used to make and receive payments. They can also be credit cards or loan accounts
  • Click the plus icon next to Bank Accounts in the Main Menu
  • Examples: Bank Accounts (e.g. Asset:Citibank), Finance Loans (e.g. Loan: Bank of America) and Directors Loans (e.g. Loan: Bob’s Visa)
  • For transactions you need to specify the Account that was used to pay or receive money. Accordingly they are usually of type Asset, Loan or Equity

Step 3. Setup Your Accounts

  • Used to Classify transactions according to their purpose
  • Click the plus icon next to Accounts in the Main Menu
  • Examples: Income: Consulting Fees or Expense: Telephone
  • Accounts are made up of two parts. The purpose such as “Income”, “Expense”, “Asset” or “Loan” and a Description such as “Stationery”, “Computers” or “Rent”

Step 4. Setup Your Contacts

  • Tracking relationships with people and businesses you deal with. Who you owe and who owes you is tracked using Contacts
  • Click the plus icon next to Contact in the Main Menu
  • Examples: Suppliers, Customers, Partners, Prospects
  • Notes: A contact is an individual or organisation that is the “other” party in a financial transaction. Contacts include suppliers, contractors, customers, retail stores, and employees - anyone to whom you pay or receive money. Often referred to as trade debtors and creditors in business

Step 5. Setup Your Opening Balances

  • Purpose: Carry you current financial position into Saasu and close off your old system
  • Choose: Main Menu > Accounts (list) > Opening Balances link
  • Notes: When you first start your file there is no financial information in it. But in reality we know that our business or personal wealth is something of value. We need to capture opening balances so we begin our file from the correct financial position

Step 6. Company and Personal Details

  • Purpose: Basic configuration for your file (legal entity)
  • Choose: Settings > Main > Work through the 3 links
  • Add the details for the tax entity that this file represents. Make sure you confirm or change your GST/VAT status in the Manage File Identity Settings area

Step 7. Other Areas To Consider

  • Payroll - Add your Employees and large companies might even consider using Pay Groups for processing Group Payroll and creating direct to bank files for multiple employees at once.
  • Contact management capabilities - Setup some Tags to group contacts for their position in a sales cycle or whether they are Customers, Suppliers, Partners or Prospects
  • Timesheets - track time and even paying staff (and billing clients)
  • Activities - add or remove activity types through the Tags list

Step 8. Start Entering Your Transactions by clicking the plus icons in the Main Menu
